How We Connected Salesforce & NetSuite
Using Make.com as our primary integration plumbing, we designed a high-reliability transaction sync that handles errors gracefully without dropping data.
1. The Trigger Action
Our pipeline listens for Opportunity Stage transitions in Salesforce. The moment an Opportunity is set to "Closed Won", a webhook payload is fired containing the deal's metadata and line items.
2. Auto-Customer Matching
The system queries NetSuite to determine if the customer record exists. If yes, it retrieves the internal NetSuite customer ID. If not, it creates a new Customer Record in NetSuite, copying Billing/Shipping addresses and tax credentials, and syncs that ID back to Salesforce.
3. Order Creation & Inventory Allocation
A new Sales Order is instantly generated in NetSuite. Line items are mapped to NetSuite SKUs, discount codes are applied, and NetSuite automatically allocates stock from the appropriate warehouse.
4. Live Status Notifications
A webhook triggers a Slack notification in the operations channel with a link to the NetSuite Sales Order, letting the warehouse staff start fulfillment immediately.
The Results
- 99% Time Reduction: Average time from marking a deal won to generating a fulfillment invoice fell from 4 hours to 90 seconds.
